Each entry has 4 tags that help define what's going to happen with that entry--Checked In, Will Show, Sale Participation, and Virtual. Each of these can be edited from the View Entry screen. Sale Participation and Virtual can be edited on the the Check-in screen.
Checked-in is probably the most visible tag, and it gets marked as Yes when the entry is checked in. When an entry is checked in, the tag "Will Show" is also automatically marked Yes. It can be changed on entries to No, as it is it's own field, independent of Checked In.
The Will Show option is designed to allow Fair Managers to designate an animal that arrived at the fair and was checked in, but for one reason or another, is not going to compete in the show. It's used as a filter in various parts of the program as a filter, a way to include (or exclude) the entries that have that marked as Will Show = No.
-
Standard Reports: It's used extensively in the standard reports. When you print a livestock show program, you can exclude all entries that have Will Show = No. That way, any entries that were not checked in will not be listed on the show program. It also excludes entries that WERE checked in, but were marked as Will Show = No because they're not going to be in the show. Most other standard entry reports also include the Will Show filter.
-
Class Breaks: The Will Show filter is available on Class Breaks, so that animals that are not participating are not included in the breaks process.
-
Entering Results: Will Show is a filter on the Results by Hierarchy tabs. NOTE: you cannot use the Edit All button if you use the Will Show filter.
-
Finalizing the budget: You can use the Will Show field to eliminate entries that should not receive premiums (didn't clean their stall, whatever). NOTE: if you use the Will Show filter here, but you do not check in your static exhibits (or change the Will Show status), they will not be included in your premium calculations and checks.
Will Show can be used as a shortcut to bulk check-in by class or division when no additional check-in information is required. Use the Will Show Bulk Updater in the Show menu to quickly check in entries from one (or more) specific class. You would NOT use this when you have to add weight or other information to the check-in screen (market livestock etc.).
Example 1: Showmanship entries--select the class from the Will Show Bulk Updater, then mark the checkbox by each entry that is participating, and update their Will Show status to Yes. In this case, although those entries will still show Checked-In = No, but since their Will Show = Yes, they would be included on standard show programs and lists of entries.
Example 2: A rabbit class--no weight/date information is entered on the check-in screen, so all of the rabbits that showed up for a class could be quickly updated using the Will Show Bulk Updater.
Example 3: Static/Event entries that are grouped by their class, to quickly designate which entries are present. Note: if the entries are grouped by the exhibitor that brought them, you would use the Bulk Check-In option instead, because that searches by exhibitor, not by class.
