Organization Admins and Fair Admins are able to download a file containing all of the custom files that were associated with the entry process. This process only works for Custom Files that were added as part of the Entry process. Files that were added to the Animal Type do not have the same download options--they can be viewed on screen, or they can be printed individually from the screen view. Note: If all you need is a report of who uploaded files (not the actual files), see List of Files Uploaded
Be sure that you are logged in as an Org. Admin or Fair Admin, and that the email you used to log in is a valid email address.
- After entries have been approved, click on the Reports menu and select the Custom Files Download tab. Click Download Files beside the file to be downloaded. You will see a green message in the lower right corner of the screen indicating "Download processing has begun".
- Check your email account for 2 messages from FairEntry (if they don't appear in your inbox, check your Spam/Junk folder). The Subject of the messages will be "A bulk download process has started..." and "Bulk Download File ... is ready..." If you have more than 500 files, you will receive a message for every 500 files, as that is the maximum that can be included in each download file.
- Open the message that indicates the download file is ready. Most email clients will allow you to just click on the blue button, but some block external links in email. In that case, you will need to right-click on the blue button and Copy Link Address, then paste that link into your browser.
- Open your Downloads folder. You will see two new files--one is a ZIP file, and one is a folder.
- Open the folder and you will see a list of all the downloaded files, labeled with their entry number, the exhibitor name, and the custom file label. These can be opened in the appropriate app for their file type and printed as needed.
