Exhibitor numbers are automatically assigned in sequential order as exhibitors are added to invoices (before manager approval). Managers can see and edit those numbers after approval.
If you have a need to use specific exhibitor numbers, those can be edited. The program will not allow you to change an exhibitor number to one that is already in use within your fair.
If you want ALL of your exhibitor numbers to be in a specific range (for example, you want all four-digit numbers), you will want to change the first exhibitor number as soon as the first invoice is submitted (before a LOT of invoices are submitted).
More reliable solution: Create a "test exhibitor" before entries open, submit the invoice, approve and change that exhibitor number. The program increments the last exhibitor number. So if you change Exhibitor #1 to be Exhibitor #1000, the next exhibitor approved will be assigned #1001, not #2.
- You will need to submit the invoice for the test exhibitor, so it can be approved and edited.
- You DO NOT have to add entries (especially important for fairs with entry fees), but can submit/approve the test exhibitor invoice with only an exhibitor--no entries.
If you want specific exhibitors to have specific numbers (for example, all the Cloverbuds), you should wait until after entries are all in, so that you can use a range that has not been assigned to others.
To change an Exhibitor number:
On the Exhibitors menu, click View beside the exhibitor's name. You can only do this after they have been assigned an exhibitor number.
Click Edit in the Exhibitor Number box on the exhibitor details screen.
Enter the new exhibitor number and click Save.
If you try to use a number that is already in use, you will see a red error at the top of the page. Otherwise, the number will change to the one you specified. The next exhibitor approved will have the next higher number after this new one.
