Usually, vendors are signing up for limited spaces, so you will want to use custom sign-up questions to both limit the number of spaces, as well as charge for those. If you do not need to limit the number of vendors, you can use a similar setup to Parking Passes - Unlimited.
There are two things to consider when setting this up.
- There is no way to charge the credit card processing fee to the "exhibitor", so if you are accepting credit cards, the processing fee (3.9% + $.30 per transaction) would be deducted from the amount deposited with the fair. For a $100 fee, that would be $4.20. Accepting credit cards is a whole-fair decision. You can't accept credit cards for one portion of the fair, but not for another one.
- The selected option in the custom question becomes booked when the "exhibitor" selects that option and confirms the class choice, NOT when they submit and pay their invoice. So it's possible to have spots unavailable because they're sitting in an open invoice that hasn't been completed and submitted.
Your hierarchy may be similar to this, or you may only have one vendor department/division/class, depending on your fair. Notice that the department has an asterisk in front of it. That's so it pops to the top of the hierarchy and doesn't get lost between Swine and Woodworking.
If you have more than one option for vendors to choose, you may wish to set up custom fields and file uploads at the department level, for questions that all vendors would be asked/required to answer. The content block can contain information that will make it easy for the vendor to enter the information that you need from them. Fields/files can be either optional or required. In the case of uploads, it may be best to make them optional, so the vendor can furnish those in hard copy if they are not able to do a digital file upload.
Then, at the specific class level (for the example hierarchy shown above), you would use custom sign-up questions to limit the number of sales, and charge for them. Notice that one example question uses select-many checkboxes so that vendors can select both the space and the additional fee for a table w/skirt. The other question uses select-one radio buttons so that the vendor only selects one choice.
