Several of our customers are managing Shooting Sports competitions through FairEntry. There is really no "standard" setup, it just depends on how your event is structured, and what information you need. Some events are limited to 4-H members, and are integrated with 4-H Online to capture basic participant data. Others are not, so their custom question list is longer. Below you'll see some examples of hierarchy setup, as well as custom questions.
- The events can be set up with entry fees on the "classes", and enrollment would be limited by the approval process.
- If you have credit card payments enabled, 3.9% + $.30 per transaction is deducted by the credit card processor before the funds are distributed.
- Custom questions can be used/required to collect information needed for the event--participant age, emergency contact, health/meds, permissions, etc.
- You can update the events as various events/dates fill--adding the word FULL in the name of the event. You can also close registration by changing the registration dates on closed events.
- Each event (class) can have its own registration fee (if they are different), as well as registration open/close dates.
- Reporting is pretty simple using standard class lists, although reports containing the custom field information will need to be custom reports.
Setup 1: Age Divisions as Department, Discipline as Division, Sub-Discipline as Class. Note the header changes from Department/Division/Class to make this more user-friendly for exhibitors. Dates are included in the names of the divisions.
Setup 2: Discipline as Department, with Events and Classes structured as their event would run. Some of the custom questions that are used to gather required information for the event are shown.
Setup 3: Age divisions as divisions/classes. In this event, they have chosen not to re-name their departments/divisions/classes. It would probably be more user-friendly for exhibitors if they did that, but the names of the departments etc. are pretty clear, so selecting the correct option would not be difficult. Notice in the first screenshot, the age is included in the division name (for Air Pistol), and for in the second, the age is the class (For Air Rifle - Prone). The custom questions are set up for scheduling, which means that those scheduling requests can be managed with "capacity" for each option.
