FairEntry has two standard reports that are formatted to print on 5160 mailing labels: Exhibitor>>Exhibitor Labels and Sale>>Buyer Labels. Although those are handy, neither is able to be filtered for a specific group--for instance, only beef exhibitors, or only buyers who have made a purchase.
To create mailing labels for a specific set of exhibitors or buyers, you will have to create a custom report and then use the Excel download to create mailing labels.
Note: Custom reports will contain information only for exhibitors with approved entries, and buyers who have a transaction. Exhibitors with open invoices (no approved entries) and buyers with no transactions will not be included on these reports.
On the Custom Reports-Columns tab, select the columns shown to get the address associated with each exhibitor. SAVE on that screen before going on.

- Exhibitors: To filter for a portion of the hierarchy, use the Select from Hierarchy button on the Columns tab to select the correct department/division/class. SAVE on the columns screen before going on.
- Exhibitors: To filter by a criteria OTHER than the hierarchy, use the Filter tab to set up your condition(s). SAVE before going on.
- To sort the mailing labels, use the Sorting tab. If you select to sort by a field that was not selected in Step 1, that field will automatically be added to your report. SAVE before going on. In the example below, I sorted the exhibitor labels by the exhibitor group name, so that all exhibitors from the same family would be grouped together.
- From any of the tabs, choose Download Excel.
- Using Excel functions, edit your spreadsheet to contain exactly the information that you need.
- Remove duplicates at this point if you only want to send one mailing to a household. If you want one label per exhibitor, you do not need to remove duplicates.
- Use the Buyer Name and/or Contact Name for buyer labels. To get only four rows on the label, you may have to combine the two, or leave out Address Line 2 if it's not necessary.
