It is not possible to restrict entry into classes based on the exhibitor's age or grade.
Issues: Age may be based on a date (Jan. 1) or may be actual age today. Each fair is different in that. Grade may be imported with 4-H Online integration for 4-H Online exhibitors, or it may be exhibitor-entered through entry settings options. Either way, it may not be assigned to every exhibitor.
Solutions:
Name your divisions or classes with appropriate limits.
Examples:
- Within the Photography Department, name your Divisions similar to Photography Gr. 4-6 so that your exhibitors can see clearly which division to enter.
- Within the Beef Showmanship Division, name your classes Showmanship Gr. 7-8 etc.
Use a custom field Content Block to give your exhibitors information about which class to enter.
Example:
- Set a custom field at the Showmanship Division, with the information "Please enter the correct class based on your age as of Jan. 1 of the current year". Exhibitors would see this when they select the showmanship division for entry.
Use the Exhibitor Birthdate/Grade Entry Settings. These settings are only available at the Fair level of the hierarchy, so be aware that if you set them to Required, ALL exhibitors will have to answer them; if you set them to Optional, exhibitors can skip past them.
- If you use these options, then you will need to manually check/approve invoices to be sure that the right class was selected by the exhibitor.
Move incorrect entries to the correct class at check-in. If an exhibitor who is in Grade 4 entered the Grade 6 class, simply move their entry into the correct class.
