Happy Spring!

After a long winter, we are happy to see signs of Spring! That also means that animal identification and entry registration season for many FairEntry customers has arrived or will be arriving soon. Catch up on the latest updates of the FairEntry program and other important reminders below to help your team have the best fair season yet!

FairEntry Development Updates

Here is a list of the development updates that have been published since our last newsletter.

• Added a warning message for invoices being submitted without entries.
• Added option to recover credit card processing fees for Exhibitor invoices (exhibitor fees and entry fees)
• Added Tier 1 and Tier 2 descriptors for Points and Premiums Setup and Results Entry.
• Animals with required animal files will not show as complete unless all required files are uploaded.
• Bug fix for Organization Administrators initiating bulk file downloads not receiving an email when files were ready for download.

Credit Card Recovery Fees

Fairs charging exhibitor and/or entry fees may now pass the credit card processing fee along to Exhibitors paying their invoice(s) with a credit card. Please check out the help center resource Assigning Credit Card Fees to Exhibitors for details on enabling this feature. The processing fee will be calculated based on the total of approved exhibitor, entry and custom question fees on the invoice.

As a related item, Auction Buyers paying for their purchases and/or add-ons with a credit card can also be assigned the credit card recovery fee for their transaction(s). Please review our help center resource Assigning Credit Card Fees to Auction Buyers for details on enabling this feature.

Processing Fee Rates for Credit Card Payments

• Exhibitor Invoices: 2.9% + $.30 per transaction 
• Online Buyer Payments (buyer logs in to FairEntry and submits sale payment info through FairEntry online sale portal): 2.9% + $.30 per transaction 
• Point-of-Sale Buyer Payments (in-person payments using a Stripe m2 reader): 2.7% + $.10 per transaction 

Animal Identification Recap

Although we highlighted this updated feature in our last newsletter, it is worth repeating. Fairs that are utilizing the "Pre-Fair Animal ID Registration" feature to allow exhibitors to identify their animal(s) in FairEntry before your fair opens for entries, will want to confirm that animal types have been linked in the hierarchy before you open the Animal ID Registration. Only the animal types linked to their division (3rd level of the hierarchy) will appear in the drop-down menu for exhibitors to identify while Animal ID Registration is enabled.

All fairs that require Animal Information as part of the entry need to have the animal typed linked to the division before opening the system for entries.

Have you updated your Organization Administrator and Billing Contacts with the FairEntry Team?

Does your organization have a new staff member taking on the Organization Administrator role in FairEntry? Please make sure a current Organization Administrator sends an email to [e-mail] to request the update of contacts for the account. We will need to know who to remove and the name and email address of the person taking on the Organization Administrator responsibilities so we can setup their account.

Do you have a new treasurer for your organization or a new billing contact that needs to receive invoices? Please make sure we have the correct billing contact email address on file so that invoices can be received and paid in a timely manner. 

We appreciate your assistance in keeping our records up-to-date.

Billing Update Reminder

Beginning January 1, 2026, FairEntry subscription upgrades will be billed for the difference between your current and new plan levels.

We'll no longer prorate upgrade costs based on the number of days remaining in your subscription term. This change helps ensure consistent, transparent billing for all customers, no matter when a subscription upgrade occurs.
