There are times when you may want to insert page breaks between different Exhibitors, Clubs, Buyers, Destinations, etc. in a Custom Report. Use the steps below to automatically insert page breaks in Excel.
Exports from FairEntry are in table format (column headers have drop-down menus, allowing you to quickly sort and search all data by one or more columns). In order to insert automatic page breaks, the worksheet will have to be converted to a standard format.
Here are the steps to use in Excel: (Different versions of Excel may have these menus/options in slightly different locations. If your version of Excel does not correspond with these steps, you may need to use the Office resources below to find the correct instructions for your version.)
- Open the Excel version of the worksheet.
- Be sure the report is sorted by the item between which you would like to apply page breaks.
- Click in the table (anywhere) and click on the Table tab in the menu bar at the top.
- Click on the button to Convert to Range (this will remove the table formatting).
- Click on the Data tab in the menu bar.
- Click on the Subtotal button.
- In the "At each change in:" drop-down menu, select the item between which you would like to apply breaks.
- Click the checkbox for that item.
- Excel automatically assumes that a subtotal is going to contain a mathematical function, and put the result of that somewhere, either in a newly inserted column, or in an existing column. The function doesn't matter, just be sure to de-select a column from the list shown.
- Click the box for "Page break between groups", and de-select any other options listed with that.
- Preview to check the page breaks.
Note: If you wish to use Excel to get a simple sum of a group of items (for example, the total premiums for the club), you can use the Sum function, and select a column for that data. The Count function returns the number of items listed in the group, and may also be useful in some reports.
