Some fairs have very custom orders in which their auction items sell, and those may not be exactly replicated in the available ordering options within the program.
If the pre-set options are not quite right for your fair, you can change the order to be exactly as you want it to be.
- Select the pre-set sale order option that closes fits your traditions and create the sale order including putting the divisions in the correct order if that is a factor.
- Using the Custom Sale Program edit to add the columns that will include the data needed to figure your sale order - whatever information on the entry determines the spot in the order, whether it's exhibitor last name, club, breed, whatever.
- Use the green Export to Excel button to download data.
- Within this downloaded excel file - first thing to do is Convert Numbers Stored as Text to Numbers in Excel.
- If you are using ribbons or placings to sort and you have different results set at different levels (C or D) you can use the Text to Columns - to split one column into two so you have the results in separate fields.
- Create a new column titled "New Sale #".
-
Sort by the factors specific to your Sale - If more than one you will also need to Covert the Table to a Range. Then sort using the Data tab Sort option, using Custom Sort and multiple fields.
- This will put your sale order in its new order - you can make further manual adjustments as well, based on population, or other traditions.
- Once your Excel spreadsheet is set in the order you want, add the new Sale numbers so that you have the new sale order number right next to the Original sale order number.
- Re-Sort your spreadsheet by the Original Sale order number.
- Back in FairEntry, using the ReOrder Entries button, plug in the new sale order number to replace the original one.
- Be sure to click the green Reorder button to save your changes.
