In the Entry Settings at the Department or Division level, a Fair Manager has the option to set defaults for adding a Video URL and Auction Narrative for Online Auctions to the entry process. The default for those is "Invisible" but they can be changed to "Visible" or "Visible and Required". If the fair allows online bidding, these fields will be the ones that allow buyers to view a video and read a narrative about auction items.
If those items are set to "Visible", even if the fields were not completed at entry time, the exhibitor can log into their account at any time (after approval) and add in the video URL (from YouTube) and/or the narrative for their sale item. The fair manager can also add those items to the entry for the exhibitor if necessary.
The option to Allow Public Viewing is a bit different, in that while it APPEARS that it controls whether an entry appears on the Public Results page, what it really does is designate whether exhibitors SEE that option when they make entry. If left at the default of "No", that option is not part of the entry process. If set to "Yes", each exhibitor will have to designate for each entry whether or not that entry should be included in Public Results, and the default for exhibitors is "Yes". They would only change that to "No" if there is a reason that their results should not appear on the Public Results page.
As with Video URL and Auction Narrative, once entries have been approved, an exhibitor can log in and change the Public Viewing option on their entries, or a Fair Manager can do that for them, if there is a need. Those fields will appear on the entry even if they were not a part of the original entry process.
Fair Managers:
Find the entry, then click the Edit button on the Entry Details section to make changes.
Exhibitors:
- Log in to the exhibitor group account, and from the Dashboard, under "Your Approved Records", click "View in Detail".
- Click Edit to add/change the Additional Entry Information. Save when finished.
