If a Club or Chapter Agent account has been created, the instructions in the document linked below will help the Agent add entries for exhibitors in that Club or Chapter. Fair managers can use the information in the Word document to create a help document for Agents that is specific to your fair.
Notes:
- Club Agents have the same "permissions" as exhibitor groups--they cannot override entry settings as managers can.
- Club Agents are NOT limited by membership in their club when adding exhibitors. They can add any exhibitor, regardless of club membership.
- If families will also create entries for exhibitors included in the Club Agent exhibitor group account, there will likely be duplicate exhibitor accounts in the fair.
- The Submit/Approval process will “time out” if a very large invoice is submitted. If there are more than about 100 entries from a club/chapter, the agent should create multiple invoices. Each invoice should include all exhibits for the exhibitors listed on that invoice. For example, if there are 22 members with 10 entries each, they should be divided into 2 groups of exhibitors so that the invoice does not grow too large. Use 100 entries per invoice as a “guide” to control the invoice size. Agents may have to wait until the first invoice is approved before they can begin a second invoice.
