Note: The information below deals with making changes to an existing hierarchy. Please do not delete a fair without contacting the support team. If you delete a fair, all the information that exists for that fair is permanently gone and cannot be recovered. If you delete the ONLY fair in your organization, your account will have to be restructured by the development team, significantly delaying your ability to set up the fair. Send an email to support@fairentry.com if you're thinking about deleting an existing fair.
Was a class name spelled wrong? Do you need to add a new class, or a new division (with classes)? Are you in your second year of using FairEntry and want to adjust some parts of your hierarchy?
After your hierarchy is uploaded (or copied from last year's fair), you can make adjustments following the steps below.
Note: these changes should be done before entries begin, so that you don't have options looking different for an early exhibitor, and a later one. Also, classes cannot be deleted once an entry exists into that class.
- Click on the Hierarchy tab.
- Select the department, division or class you would like to edit.
- Be sure you are on the Hierarchy Editor sub-tab.
- Change a name - Click Edit to change the name of the selected department, division or class.
- Add - If you would like to add to the hierarchy:
- Select the Fair to add a Department
- Select a Department to add a Division (within that department)
- Select a Division to add a Class (within that division)
- Select a Class to add a Subclass (that exhibitors can select within that class)
- NOTE - Subclasses may not have their own points and premiums structure. Points and premiums will only inherit from the Class. If you are adding something with a separate points/premiums structure, it needs to be its own class, not a subclass of another class.
You can delete parts of the hierarchy, as long as there are no entries existing within that. However, if you later decide to add it back in, you will need to name it something slightly different. It doesn't have to vary much, but at least one character in the name must be different than the one you previously deleted.
What if you want a class to be in a different division, or you want a division to be a part of a different department? (This must be done before entry time.)
You will use the delete and add procedures... delete the class from its current location, then add it into the new location. If you are re-locating an entire division, you will need to delete all the classes, then the division; then add the division to the new location, and finally add the classes to the new division.
